Founded in May of 2000, ZeusLogic is a software development company. In addition to providing software for the Foster Grandparent Program, ZeusLogic produces software that manages the collection of data, application processing and reporting, automated workflow tools and process controls.
e-Stipend tracks volunteer time, and, as a result, e-Stipend knows how many active volunteers you manage and how many hours they committed service. Every time you log on to e-Stipend, the dashboard displays your current VSY (Volunteer Service Year) unit goal and actual achievement.
e-Stipend keeps you in touch with your program plans and your team. Tracking the Volunteer on-boarding process, ESL re-certifications, document gathering and site staffing are just some of the tasks e-Stipend can help you with.

Set up new sites/districts, add or remove volunteers from site assignments, view staffing needs/availability and review use of site service time and expenses. Site requirements and MOU (memorandum of understanding) are all sorted in one place for easy access and review. e-Stipend also provides fiscal reporting by site.
Create volunteer service time and expense schedules by site. Choose from your volunteers approved for a particular site(s) by supervisor or from the full list of volunteers within your grant program. In e-Stipend, a schedule can be automatically set as a template for future recall.
A volunteer's service time is tracked by site(s) served. In-service, earned time off (ETO), jury duty and compassionate time are also recorded—as allowed by the program rules. Volunteers' ETO balances are conveniently displayed for supervisors' to monitor and steward the program's internal control rules. Time sheets can be uploaded for audit purposes, and a bonus is the reporting of VSY goals and achievements.
e-Stipend collects volunteer time and expense detail to automatically produce a service record of time served, transportation expenses, meal allowances and ETO accrued. This detail then serves as the basis for tracking payment liabilities by general ledger account for fiscal reporting and uploading to payment systems, or general accounting systems for direct deposit.
Our time collection instruments utilize touchless facial recognition technology and promote accurate timely payments. These devices require ZERO setup configuration.This also means no network wiring or wifi configurations. Simply plug-in and enter the device ID into e-Stipend to activate.
One of the biggest challenges any program faces is compliance. e-Stipend organizes the requirements and allows supervisors to focus on what is important, while being reminded of expiring documents or other requirements. For example, have all the requirement been met for the volunteer's start date? The proper tracking of requirements can avoid negative findings and disallowances. Pre-service and in-service requirements are tracked as scheduled and completed in real time. As expiration dates approach, supervisors are notified of pending requirements, and if a supervisor lets a requirement slip, the manager or director is notified prior to expiration. Best of all, you can choose who to send reminders to and how many days prior to expiration.
e-Stipend takes an organized approach to on-boarding volunteers. Each requirement is identified in the proper order on the volunteer's record. Requirements such as background checks and other required documents are clearly identified and visibly checked off when a requirement is met. Pre-service training is tracked automatically, and workflow status is assigned as required, scheduled or completed as your volunteer progresses through the certification process.
Throughout the program, performance assessment is key. e-Stipend tracks volunteer assignment plans, site plans, staffing requirements and supervisor review/compliance.

Volunteers are the heart of the program. e-Stipend tracks Volunteer requirements and expiration dates, performance plans and service time. Requirements such as in-service time, active service time and the need for re-certification are automatically tracked. Stipend and expense records are tracked by period and can be interfaced to your existing accounting system. e-Stipend produces service schedules, time sheets, and service records that show a detailed breakdown of stipend time, ETO accrued and/or used and balances. e-Stipend even tracks in-kind meal assessments.
Bringing together the volunteer with the site requirements. Build the volunteer's on-site schedule(s) based on each site's staffing needs. Create templates for recurring or seasonal schedules. e-Stipend scheduling tools make it easy to modify volunteer schedules and templates as your site requirements evolve.
As part of volunteer time tracking, e-Stipend tracks the amount of the stipend to be paid and any expenses for transportation and meals. e-Stipend also documents In-service, ETO, Compassionate, and other time types. You can also create your own time types. This level of detail helps avoid IPERIA Findings (Improper Payment Eliminator and Recovery Improvement Act). e-Stipend has the ability to attach PDF copies of time sheets to the volunteer's record, which assists in the auditing process.
